IT PMO Coordinator - JG3

Location: Manchester / Dartford UK based but global scope

Are you a PMO professional who can take a pro-active approach in seeking and driving forward key activities that underpin successful delivery in IT? We need you to support our mission to be provide information systems and services for an evolving business model.

Can you manage new project requests into the IT Portfolio and SPM/PPM system? Then come and support our Project Managers with their projects. If you want to see what this looks like in construction, then keep reading.

The role will coordinate the activities that underpin the successful delivery of IT projects across demand and delivery. The part you will play is to ensure there is a portfolio view of projects from demand until closure.

Duties include:

  • Manage new project requests into the IT portfolio and SPM/PPM system (ServiceNow)
  • Support Demand and Project Managers in the management of the IT Projects and resolution of issues, and ensure risks are captured.
  • Collate and input to regular and ad-hoc reports using ServiceNow and Excel
  • Work with Demand and Project Managers to ensure ServiceNow data is accurate.
  • Assist the project and portfolio team in managing their projects via SPM/PPM
  • Provide the wider team with guidance and support in raising and managing projects in SPM/PPM, and following the IT project framework
  • Undertake introduction meetings for new PMs on PMO processes and tools (ServiceNow and Resource Allocation Tracker)
  • Maintain the PMO knowledge sites, guidance and documentation
  • Update ServiceNow with project financial data and work with finance stakeholders to ensure accurate finance data
  • Maintain the Resource Allocation tracker, ensuring data is up-to-date and accurate.
  • Work with IT Project Managers and Resource Leads to ensure the Resource Allocation Tracker is maintained and proactively used
  • Undertake project closure reviews, and adopt a continuous improvement approach to lessons learned.
  • Arrange and maintain the PMO calendar and shared mailbox
  • Schedule PMO meetings including meeting room, Teams Meetings and VC bookings

Essential skills required:

  • ServiceNow
  • Office 365 applications
  • Experience of successfully managing multiple stakeholders with conflicting demands and priorities

Desired experience

  • ITIL
  • Prince2, PMP or similar qualification
  • Change Management
  • Understanding or working history within a project management environment
  • Basic understanding of the functions within IT
